We believe that Graphite’s strength is in its people. We’re looking for an experienced Facilities Manager for our San Francisco office to oversee all office related tasks and keep daily office operations running smoothly. You will also be supporting our distributed team. This role requires you to be organized, detailed, resourceful, creative, and naturally inclined toward logistics and planning. You will work independently, but have tasks assigned to you to help the office and team get everything they and the office needs. This is a Part-Time position for approximately 20 hours/week. We will need you to be at the office every day, during business hours.

What you’ll do:

  • Maintain office efficiency by managing the appearance of common areas, organizing procedures, handling correspondence, and overseeing supplies and equipment to create a distraction-free environment conducive to the team’s productivity

  • Prepare meals, or order in, with a view to healthy, organic eating. Order kitchen supplies that stay focused on these healthy goals

  • Manage office retailers, vendors, maintenance crews, and IT to troubleshoot and solve problems

  • Order and manage the delivery of office supplies and equipment to a global workforce

  • Support Accounting team needs with tracking of your miscellaneous cost expenditures by maintaining clear records

  • Manage company documents, and inbound and outbound mail and shipping

  • Maintain green areas of the office (including our beautiful outside garden) - we love plants and surround ourselves in them!

  • Working with People Operations, plan virtual and in-person team events and coordinate travel/lodging/car arrangements for the CEO and team as needed

  • Project management - there will be ad hoc operations projects, and you will oversee them from start to finish and effectively communicate progress to Leadership


What you’ll need:

  • Experience: You’ll need a minimum of 3 years experience successfully managing an office, ideally in a rapid growth environment, and knowledge of Office Administrator responsibilities, systems, and procedures

  • Communication & Interpersonal Skills: You’ll need strong written and verbal English communication skills as you’ll be the welcoming face representing Graphite, both in person and virtually

  • Autonomy and Resourcefulness: You’ll be working independently, with minimal supervision, and delivering premium results

  • Problem-solving Skills: You’ll need to find solutions to everyday logistical issues to ensure smooth office operations

  • Organizational Skills: You’ll be coordinating and managing multiple projects/activities simultaneously

  • Technical Skills: You’ll be using Google apps, Microsoft Office apps, Notion, Asana, Slack, and managing smart devices in the office

  • Discretion: You’ll be handling confidential and sensitive information

  • This is a 20 to 25 hours/week position. 


Bonus:

  • You have startup experience

  • You have some basic gardening experience and/or a green thumb

  • You enjoy being in the kitchen and feeding others

  • You have familiarity with google, Sonos, and other smart products

  • You speak Spanish
